These Terms & Conditions for attendees apply to every person registering for the AHOY! European Social Web Day Hamburg 2025, to be held in Hamburg, Germany (hereafter referred to as "the conference").
The attendee will complete the registration form through the ticketing platform provided on our website, accepting the payment and following the instructions on the website to formalize the registration and its corresponding payment.
An email acknowledgement and invoice will be sent after the receipt of the registration, a confirmation of payment will be sent upon receipt of payment in full. Payments should be made in advance and in EUR only, using a credit card, debit card or by wire transfer.
If you purchased a ticket with logo sponsoring, you are required to provide your logo in a suitable format so it can be added to the website in a section deemed appropriate to the sponsor level. We reserve the right to refuse sponsorships at our own discretion, which will then be refunded in such a case.
Purchased tickets are non-refundable. However, if you are unable to attend the conference we welcome substitute delegates attending in your place at no extra cost after having received the ticket payment in full.
The tickets purchased are for your own personal use or that of your business only and may not be re-sold or transferred for commercial gain under any circumstances. In case of re-sale or attempted re-sale of any tickets, we reserve the right to cancel the relevant tickets with immediate effect.
If the maximum attendee capacity is reached, the conference organisers reserve the right to refuse additional registrations.
It is your sole responsibility to take care of visa requirements. If you require an entry visa, you must allow sufficient time for the visa application procedure. Your registration details might be shared with the immigration authorities to assist in the immigration process. However, the conference organisers will not contact embassies and consulates on your behalf.
To receive an invitation letter for AHOY! European Social Web Day Hamburg 2025, you must first register and pay the registration fees in full. You will have the option to request an invitation letter by contacting the event organizers at info@ahoyhamburg.com
If you are not granted a visa, the registration fees will be reimbursed (less 50EUR administrative fee) if, and only if, you provide info@ahoyhamburg.com with an official document from local immigration authorities, showing the visa rejection and that the application was made at least one month before the conference.
In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organisers, the conference organisers cannot be held liable by delegates for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, etc.
Under these circumstances, the conference organisers reserve the right to either retain the entire registration fee and to credit it for a future conference, or to reimburse the delegate after deducting costs already incurred for the organisation of the conference and which could not be recovered from third parties.
The conference organisers reserve the right to modify the programme. No refunds can be granted in case of cancellation of speakers, lack of space in the conference room or any other incidents during the conference which are beyond the control of the conference organisers.
To ensure that everyone feels safe while attending the conference, we have established a code of conduct for attendees, organisers, speakers, volunteers and sponsors to adhere by, which may be found at berlincodeofconduct.org. Any breach of this code of conduct might lead to being removed from the conference without a refund.
By attending AHOY! European Social Web Day Hamburg 2025, you acknowledge and agree that photographs and video/audio recordings may be taken of you during the conference. You hereby grant the conference organizers and their designees the right to capture, use, reproduce, exhibit, distribute, broadcast, transmit, and sublicense your image, voice, and likeness in any and all media now known or hereafter invented without any compensation to you.
These materials may be used for promotional purposes, including but not limited to social media, websites, future event marketing, educational materials, and other commercial and non-commercial purposes without further notification or authorization from you.
The conference organizers retain all rights, including copyright, to all photographs, video recordings, and other media content produced at the event. By accepting these terms, you waive any right to inspect or approve the finished images or videos, and you release the conference organizers from any claims or liability related to the use of your image or voice in accordance with these terms.
If you have specific concerns about appearing in photographs or videos, please make yourself known to the conference staff at the registration desk upon arrival. While we will make reasonable efforts to accommodate such requests, we cannot guarantee that you will not appear in the background of some materials.
